Who we’re looking for:
We’re looking for a highly organised and proactive Operations Executive to support the delivery of our global events. This is a fantastic opportunity for someone early in their career who is passionate about events, logistics, and creating seamless experiences.
You’ll be a natural problem solver, a strong team player, and someone who enjoys working behind the scenes to bring complex events to life.
The Role
As an Operations Executive, you’ll provide essential administrative and logistical support to the Operations team, helping ensure our events run smoothly from planning through to on-site delivery.
You’ll be involved in coordinating suppliers, managing operational processes, and supporting the wider team to deliver high-quality experiences for our exhibitors, buyers, and partners. This role is ideal for someone looking to develop strong organisational and operational skills within a fast-paced, global events environment.
What you’ll do
Support day-to-day operational planning, including document preparation, scheduling, and database management.
Assist with logistics coordination across venues, suppliers, signage, and event timelines.
Maintain accurate records, project plans, and operational checklists to ensure deadlines are met.
Liaise with suppliers and vendors, supporting sourcing, quotations, contracts, and order tracking.
Assist with purchase orders, invoicing, and general operational administration.
Support the implementation of event plans and provide on-site operational assistance during live events.
Help maintain health & safety documentation and support compliance with internal policies and regulations.
Provide support to ensure a seamless experience for delegates and exhibitors, including troubleshooting last-minute issues.
Collaborate with internal teams (Sales, Marketing, Creative) to ensure aligned and efficient event delivery.
Research new tools, processes, and industry trends to improve operational efficiency.
What you’ll need
1–4 years’ experience in an administrative, events, or operations support role.
Strong organisational and time management skills, with the ability to manage multiple priorities.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office, Google Suite, and ideally project management tools (e.g. Asana).
A proactive, solutions-focused mindset and strong attention to detail.
A collaborative team player with a positive attitude and willingness to learn.
Flexibility to travel and work extended hours during event delivery periods.
Onsite experience in events, logistics, and/or the luxury travel industry.
Additional languages (French, Arabic, or Indonesian) are a plus.

Position Type: Permanent, with a 4-day working week. Our hybrid model includes 3 days in the office (located in Shepherd's Bush), 1 day working from home, and every Friday as a non-working day as standard.
