Position Type: Permanent, 4 day working week (4 day working week for 5 days’ pay!)

Working Pattern: Hybrid - 3 days in the office (Shepherds Bush), 1 day from home & every Friday is non working day as standard

The role: We are seeking a highly organised individual with a passion for events and travel to join the team and support Operations Manager in the execution of a key group of events. This will require efficient coordination between all departments and suppliers to ensure smooth running and successful execution in line with marketing and event strategy. You will have production experience and demonstrable experience in supporting with the delivery of well planned and executed shows. As part of the wider Operations team, you may be needed to support across additional unconferences and other special events.

What you will do:

• Supporting the execution of This is Beyond Marketplace events
• Liaising internally with the Design team and Marketing team for all signage, collateral, and as well as externally - with venues and suppliers on specifications, and logistics. 
• Supporting production elements of all the events (sound systems, entertainment, internet, AV etc
• Ensure costs are kept in budget, payment schedules are set up with suppliers and all invoices are paid on time.
• Liaising with suppliers for infrastructure set up and needs, e.g. tents, furniture, internet and manage assigned suppliers for the life cycle of an event.
• Liaising with venues for all specifications, timings and catering.
• Working with the Operations Manager to arrange the best use of floor space for all events, liaising closely with the team and venue to ensure its execution.
• Arrange the signage plan and its execution with the team and suppliers.
• Arrange all necessary orders, decoration, printing with the team.
• Coordinating staff & hostess on site plans and arrange Event Permits as necessary.
• Continuously researching venues, suppliers and new creative ideas for all This is Beyond events & attending events and research trips when required.
• Researching & championing new systems to stream line processes across the events.

What you will need:

• Proven experience of working in a similar role for minimum 2 years.
• Proven production experience (demonstrable experience on the production side of conferences and good knowledge of AV & production systems).
• An understanding of catering & F&B management.
• Knowledge of the travel industry (preferable, not essential).
• Knowledge of exhibition events (preferable, not essential)
